The Opportunity

Responsible for office administration, vendor and visitor management and other office duties as assigned. This role will provide other support to the Global Real Estate & Workplace Services team in the Americas as needed.

Job Responsibilities:

The Workplace Services Specialist role is to provide a wide range of assistance to the site and supports the Facilities Manager in the maintenance and operation of Marvell’s buildings.

Reception and Visitor Management:

  • Warmly greet visitors and employees and provide assistance as needed.
  • Answer and manage phone calls, ensuring prompt and professional communication.
  • Sign in visitors, issue ID badges, and maintain detailed records.
  • Collaborate with corporate security to activate and manage temporary access badges.

Safety and Emergency Response:

  • Ensure first-aid cabinets and supplies are stocked and readily available.
  • Identify emergency response team members and document their responsibilities.
  • Schedule annual First Aid/AED training for team members.
  • Assist in completing accident-related forms as necessary.
  • Provide support to employees requiring special ergonomic equipment.

Facilities and Office Management:

  • Troubleshoot and address facilities issues, coordinating with Property Manager, contractors, and vendors.
  • Manage external service vendors for various workplace services.
  • Oversee office planning, employee relocations, and modifications.
  • Ensure the office space adheres to Marvell’s standards and maintain seating charts.
  • Coordinate office shipping and receiving, including domestic and international shipments.
  • Manage recycling and e-waste initiatives.

Procurement and Financial Management:

  • Initiate purchase requests for facilities-related items.
  • Handle P-card purchases and reconciliation.
  • Order, purchase, and maintain office, shipping, break room, and cleaning supplies.
  • Manage outside resources and services, including purchase requests, purchase orders, invoices, budgeting, and reconciliation.

Event Planning and Activities:

  • Collaborate with site leaders to plan and organize various events and activities, such as holiday parties and Friday happy hours.

Miscellaneous Responsibilities:

  • Coordinate catering for office events.
  • Collaborate with IT and Security teams to address on-site issues.
  • Maintain and update current floorplans for the office.
  • Provide administrative support to senior staff managers as needed.
  • Create purchase order requests and assist with obtaining quotes for supplies or projects.
  • Provide HR support for onboarding, including I9 verification.
  • Ensure compliance with corporate policies and procedures, including health and safety protocols and vendor supervision.
  • All other duties as assigned and requested.
