As a Website Project Coordinator, you are the bridge between our clients and our production team. Your organizational skills, timeliness, and attention to detail guide our clients through the site design and development process on time and on budget. You will manage several dozen projects at once, working with different client roles and personalities to complete projects within their original scope. You’ll work directly with a team of designers, developers, and internal stakeholders.

Reporting: The Project Coordinator reports to the Manager, Production & Support.

Primary Functions/Responsibilities:

  • Manage all Production projects: regularly communicate with clients assigned to you through each step of the production process.
  • Closely track estimates and timelines for all projects assigned to you to ensure we stay on time and on budget.
  • Vigorously follow up with clients to ensure their deliverables and feedback arrive on schedule and projects progress in a consistent manner.
  • Clarify client expectations in terms of what is included in their scope of work, referring any up-sell opportunities or clients with improperly-set expectations to the appropriate salesperson for further discussion.
  • Support the Production Manager in scheduling work for all designers and developers on the production team.


  • Self-motivated individual
  • Understanding of, and passion for, all things digital
  • 2+ years of related work experience, preferably in a client-facing role
  • Excellent interpersonal skills, including the ability to communicate articulately both verbally and in writing
  • Strong time management skills; ability to manage dozens of projects, hit tight deliverable timelines, and deliver effective results, in a fast-paced, continuously evolving environment
  • A belief in our concept, a strong work ethic, and team mentality
  • Demonstrated resourcefulness and ability to work independently to problem solve
  • Positive customer service experience, including managing difficult situations and people, is essential
  • Experience with CRM and Project Management software (Salesforce, TaskRay, Basecamp, MS Project) is preferred
  • Familiarity with website design and development practices is a plus
