Konica Minolta currently has an exciting opportunity for a Lease Admin Specialist!

Essential Job Functions

  • Maintain lease database by entering new deals and updating deals old as they are closed out (All Types)
  • Maintain lease financing rate chart as well as promotional rates provided by lease vendors
  • Manage monthly lease financing pre-fund, by ensuring sales are closed to meet the financial obligations
  • Process lease leads and non-renewals in Onyx
  • Process In-House Credit approvals (All Types)
  • Process lease approvals, buyouts and trade-ups (All Types)
  • Process lease documentation and correct billing issues with leasing vendors (All Types)
  • Verify all equipment picked up is free of lease obligation(s) and help facilitate machine returns
  • Develop expert knowledge of leasing documents, programs and procedures(All Types)
  • Develop management reporting
  • Assist in developing automated processes to increase productivity
  • Process 1st and 2nd sign-offs on lease deals as well as billing upon completion
  • Process sales orders and update sales order management system (All Types)
  • Process invoices and credits for sales orders, projects and contracts (All Types)
  • Set-up and continual maintenance to all contracts in the system (All Types)
  • Produce commission coversheets
  • Provide support to SymQuest Sales Representatives
  • Provide internal Sales Representatives with relevant service rate/contract profitability information and reports as needed
  • Provide client support as it relates to billing and contract questions/rates
  • Produce client facing reports
  • Coordinate third party deals
  • Scanning (imaging) of all deal paperwork to virtual file cabinets
  • Month End Reporting and processes
  • Managing multiple emails boxes to ensure timely responses to internal and external customers

 

Criteria Measurement:

  • Obtain an 80% a month ‘new business’ lease rate
  • Obtain a 95% compliance of upgrading expiring leases
  • Turn around lease approvals, in-house credit approvals, buyouts, and trade-ups within 1 business day of receiving request
  • Ensure non-renewal letters are sent from us and/or our clients to the leasing partners 120 days prior to lease termination
  • Develop management reporting to increase productivity and decrease overhead costs

 

Essential Activities:

  • Administrative duties related to processing lease approvals, buyouts and trade-ups as well as supporting the sales staff (All Types) 40%
  • Manage Admin and Contract Email Inboxes to ensure timely response 20%
  • Provide Support to Internal and External Clients 20%
  • Managing sales orders and projects from entry to invoicing 5%
  • New contract creation/maintenance of contract database 5%
  • Generating reports (metrics, management and vendor) 5%
