Work in a high-volume, busy Dean’s Office in the Larner College of Medicine (University of Vermont) to provide support for the Dean’s Office Human Resources/Faculty Affairs team, with support to Dean’s Office Operations team as well. Confidentiality is essential to this position. This position will provide Human Resource procedural, and transactional support to the College of Medicine. Coordinate day-to-day HR operations to include following policies and procedures, process coordination, data submission, and report generation. This position will also be responsible for creating and handling process for electronic filing for faculty files and electronic faculty recruitments. Provide assistance in website design and maintenance of faculty affairs website. Prepare and submit ePARs, including all faculty promotions, along with reviewing and approving ePAR, eTemp and additional pay submissions. This position will provide administrative support to coordinate specialized trainings, professional development, operational activities and Faculty Affairs/HR events. Provide support for high-level leadership faculty recruitments by coordinating itineraries and schedules, with direction from Dean’s Office HR Generalist, other duties will include but not limited to scheduling, catering, dining reservations, travel, logistics to finalize success interview days. Prepare and track documentation and coordinate and process volunteer faculty appointments for the college. Provide support to help coordinate appointment, reappointment, promotion, tenure process documents and processes for all LCOM departments. Prepare Faculty Affairs/HR correspondence, for example, salary increase letters.
Minimum Qualifications (or equivalent combination of education and experience)
Bachelor’s Degree in human resources, business administration or related field and three years of related experience in an administrative setting required. Effective organizational, interpersonal, communication and writing skills required. Advanced spreadsheet, and reporting skills. Demonstrated ability to use software tools to summarize and manipulate large data sets.
Demonstrated experience handling highly sensitive and confidential information.
Experience as human resource coordinator highly desirable. Experience with enterprise systems such as PeopleSoft and PeopleAdmin is desirable. Knowledge of MS Office applications highly desirable.
