The Executive Assistant (EA) is an integral part of the E Inc team. This role will provide a wide variety of administrative support to the CEO of E INC, a fast-growing, innovative start-up technology company. The EA will support several administrative procedures, budget management and reporting and contribute to special projects as needed. This role necessitates a high level of attention to detail, organization, flexibility, and sound judgment. The EA is required to maintain confidentiality and professionally interact with employees, management, and the public. This opportunity is based out of Toronto, Ontario or Burlington, Vermont.


What You Will Do:

  • Provide direct administrative and office management support to the CEO, including maintaining their work schedule and calendar
  • Prepare travel schedules, book travel arrangements, and make reservations
  • Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events
  • Review all documents, reports, and correspondence for format, content, grammar, and spelling and make edits as necessary
  • Prepare draft reports, background documentation, and research
  • Receive and screen all inbound telephone calls, e-mails, and visitors
  • Refer and/or redirect calls, e-mails, or visitors as required
  • Coordinate office activities
  • Troubleshoot and/or escalate office administration issues
  • Receive incoming mail
  • Review, evaluate, and distribute priority correspondence for the executive team
  • Complete expense reports, pay invoices, and other related duties
  • Take and transcribe dictation notes
  • Prepare and review presentations
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons
  • Other duties shall be assigned as required


What You Will Need:

  • Post Secondary Diploma in Business Administration or relevant discipline preferred, or an equivalent combination of education and experience
  • A minimum of 10 years of related work experience in a fast-paced, growth-oriented environment
  • At least 2 years of previous assistant experience for a C-level executive preferred
  • Ability to work independently within the scope of defined responsibilities
  • Strong knowledge of office procedures and practices
  • Excellent attention to detail and strong written and verbal communication skills
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Resourceful and flexible, able to juggle multiple priorities simultaneously and take initiative
  • Proven process and time management skills
  • Demonstrate sound judgment
  • Ability to handle confidential material with the utmost discretion
